Overview

A nonprofit organization operating in the human services sector relied heavily on manual processes and fragmented systems to manage sensitive information. Staff members, from frontline advocates to program managers, struggled with time-consuming data entry, siloed spreadsheets, and limited decision-making support.

The organization sought to replace its outdated tools with a modern, secure, and scalable platform. The goal was to eliminate inefficiencies, reduce errors, and empower staff with real-time insights and machine learning (ML)–driven recommendations. RUBICON partnered with the client to design and implement a secure, cloud-based platform that automated workflows and enabled advanced analytics.

Key features of the solution included:

  • Automated data ingestion: Information from forms and third-party systems is now seamlessly collected and transformed through cloud-based serverless functions.

  • Centralized data platform: All records are stored in a structured and compliant system, ensuring quick access and high accuracy.

  • Role-based access: Secure authentication and authorization ensure staff only see the data relevant to their role.

  • Machine learning integration: External ML models, accessed via APIs, provide real-time decision-support for frontline advocates and managers.

  • Visualization tools: Built-in dashboards replace static Excel graphs, giving leadership a clear, up-to-date view of operations.

  • Automated communications: Email reminders and notifications now reach staff and caregivers without manual intervention.

  • Real-time monitoring: Performance and usage patterns are tracked to ensure reliability and provide insights into future improvements.

The platform was built using modern cloud infrastructure, leveraging Infrastructure as Code for repeatability and scalability, and was implemented following agile delivery methods to ensure stakeholder engagement throughout.

Results

The project delivered measurable improvements across the organization:

  • Reduced manual work: Estimated 60–80% reduction in manual data entry time. Staff hours previously spent on re-keying and reconciling data are now handled automatically by the event-driven pipeline.
